A hotel CRM is software that centralizes guest profiles, stay history, preferences and marketing consent, enabling personalized communication and campaigns that turn one-time guests into repeat direct bookers.

In practice

The CRM merges data from the PMS, booking engine and email interactions into a single guest profile. On top of it run automated journeys, pre-arrival emails, win-back campaigns and segmented newsletters, each tied to real stay behavior rather than generic blasts.

Data quality decides everything. Duplicate profiles, missing consent flags and OTA-masked email addresses limit what the CRM can do. The first project after buying one is usually cleaning and deduplicating years of PMS profiles, and only then designing campaigns.
