Folio

Operations

A folio is the itemized account of a guest's stay in the PMS, recording every charge, room nights, taxes, restaurant, minibar, and every payment. At check-out the folio becomes the guest's invoice.

In practice

Folios can be split, separating room charges billed to a company from personal extras paid by the guest, or grouped, consolidating many rooms of one event onto a master account. Correct routing rules set at reservation time prevent check-out negotiations.

Clean folios reduce disputes and chargebacks, since guests challenge charges they do not recognize. Clear item descriptions, correct tax treatment and posting charges promptly rather than in a check-out batch are the habits that keep folios trustworthy.
